Coordinate volunteers without relying on WhatsApp

WhatsApp is great for urgent notices but a poor shared calendar: messages get buried, nobody knows who confirmed, and coordinators repeat the same questions every week. This guide keeps WhatsApp for communication while moving sign-ups to a public portal.

What breaks in the group chat

In a group chat, ten people may say “I’m in” at once and the time slot is still unclear. Confirmations disappear in the scroll. New people never see history. When the coordinator changes, context is lost.

Mixing personal data (phones, availability) in a chat is also weak for privacy and for organizations that need orderly records.

The booking portal flow

You publish a fixed link or QR. Each volunteer opens the page, sees available days, picks one, leaves name and phone, and accepts the waiver. You see results in the dashboard in real time.

WhatsApp remains useful for reminders (“service tomorrow at 9”), but it is no longer where official sign-up happens.

Steps to migrate from WhatsApp

Week 1: set up a test day and share the link with a small team. Week 2: announce in the group that sign-ups move to the link; post the QR where people will see it. Week 3: stop treating “I’m in” in chat as confirmation; always point to the portal.

Explain that returning volunteers use the same phone number without starting from scratch every time.
